Pages and sheets are not the same number

A document has a page count. A print run has a sheet count. People quote the first when they need the second, and the gap between them is where printing budgets go wrong.

Forty-eight pages printed double-sided is twenty-four sheets. Printed double-sided with two pages to a side, it is twelve. Ten copies of that is a hundred and twenty sheets, which is most of a ream, and the ream is the unit you actually buy.

Working backwards from sheets is also how you sanity-check a quote. A print shop charging per impression is counting sides, not pages, and knowing which of the three numbers is being priced is worth asking about before agreeing to it.

Count, do not estimate

A great many page counters divide a word count by a fixed figure — five hundred words to a page is the usual constant — and report the result as a page count. That number is a guess about a document that does not exist yet.

Real documents defeat it immediately. A page with a table on it holds a fraction of five hundred words. A page with an image holds none. Headings, white space, line spacing, margins and font size all move the figure, and a report with charts can run three times the length the word count suggests.

Where a PDF already exists, none of that estimation is necessary. The count is in the file. The [msm_tool slug="pdf-page-counter"] reads it directly, so the figure is exact rather than approximate, and it reads the page size too.

Page size, and why it bites

PDF measures pages in points, at seventy-two to the inch. A4 is 595 by 842; US Letter is 612 by 792. They are close enough to look identical on screen and different enough to cause trouble at the printer.

Printing a Letter document on A4 paper means either scaling it down, which shrinks every margin and can clip a footer, or printing at full size and losing a strip from one edge. Sending a document across the Atlantic without checking which size it was built for is the commonest version of this, and it always surfaces after somebody has printed two hundred copies.

A document that mixes sizes or orientations is worth knowing about before it goes to print, because a duplex unit handling mixed pages will either rotate them unhelpfully or jam. A landscape appendix inside a portrait report is the usual cause.

What the printer counts that you did not

The document's page count is a floor rather than a total. Several things get added on the way:

  • Blank pages inserted by duplexing. A document with an odd number of pages printed double-sided still consumes a whole final sheet.
  • Chapter starts forced onto a right-hand page, which inserts a blank verso before each one. In a book-style document this adds up quickly.
  • Banner or separator pages, which some shared office printers add per job by default.
  • Covers, dividers and card stock, which are sheets and are usually priced differently.

None of these are in the file. They are decisions made at the printer, which is why an exact page count is the beginning of an estimate rather than the end of one.

Pages per side, and legibility

Printing two pages to a side halves the paper and is genuinely useful for drafts and reading copies. Four to a side halves it again and is where legibility usually gives out — a document typeset at eleven point becomes roughly five and a half point, which is smaller than most footnotes.

The test is what the document is for. Circulating a long report for comment, two-up double-sided is a sensible default and quarters the paper. Anything that will be read closely, annotated, or handed to someone whose eyesight you cannot vouch for, print one-up.

Before a long run

Print one copy first. It sounds obvious and it is skipped constantly, and it catches the things a page count cannot tell you: a margin too tight for the binding, a chart that is unreadable in greyscale, a hyperlink that meant something on screen and means nothing on paper, a page that was landscape in the file and portrait on the tray.

Then multiply. An exact count, an honest sheet figure and one proof copy between them remove nearly every unpleasant surprise that printing a long document can produce.
