Umformulierter Text

Tone is register, not vocabulary

People usually try to change tone by changing words — swapping get for obtain, adding kindly, reaching for longer synonyms. It rarely works, because tone is carried mostly by structure.

Sentence length carries it. Who is the subject carries it. Whether the verbs are things people do or things that happen carries it. Contractions, direct address and the willingness to start a sentence with but all carry it. Vocabulary is the last few per cent.

That is why we are unable to accommodate your request and we can't do that, but here's what we can do feel so different despite saying the same thing. The [msm_tool slug="tone-converter"] shifts those structural choices rather than running a thesaurus over your sentence.

What each register is actually for

  • Formal increases distance. Right for contracts, complaints, regulators and anyone you may later need to quote. Wrong wherever warmth is the point, because distance reads as coldness when nothing required it.
  • Casual shortens sentences, uses contractions and speaks to the reader directly. Good for product copy, support replies and internal notes; risky in writing that must survive being forwarded to someone senior.
  • Persuasive foregrounds benefit and reorders the argument to lead with what the reader gains. It also inflates — watch for claims arriving that your original did not make.
  • Urgent compresses. Short sentences, imperatives, the deadline early. Genuinely useful for an outage notice, and corrosive when the thing is not urgent.

Formality and politeness are different axes

This is the mistake that produces most bad business writing. Formal prose is not more polite; it is more distant, and distance frequently reads as indifference.

Your complaint has been received and will be processed in due course is formal and unkind: nobody is doing anything, no time is given, and the customer has been handled rather than answered. I've got your complaint and I'll come back to you by Thursday with an answer is casual and far more respectful, because a person has taken responsibility and committed to a date.

If you want to be kinder, add a named actor and a specific commitment. If you want to be more formal, remove the personal pronouns. Those are separate operations and doing one when you meant the other is the usual failure.

What must survive a tone change

  1. Every figure, date and name. Unchanged, in the same units, attached to the same subject.
  2. Every hedge. A persuasive pass loves to turn may reduce costs into reduces costs, and that is a claim you now have to defend.
  3. The actual answer. A refusal made friendly must still be a refusal. Softening that ends in a yes is worse than bluntness.
  4. Legal and compliance wording. Warranty terms, disclaimers and regulated phrasing are drafted precisely. A tone pass over them is a liability, not an edit.
  5. Conditions. If, unless and except clauses go missing in compression and take the meaning with them.

Reading the room

Register is a judgement about the relationship, not about the document type. The same refusal goes to a long-standing client, a stranger and a colleague in three different forms, and no setting knows which you are facing.

Three questions decide it faster than any rule. Does this person know me? Is the news good or bad? Will this be read once or filed and reread later? Bad news read by a stranger and kept on file wants formality. Good news to someone you speak to weekly does not.

Cultural expectation matters too. Directness that reads as efficient in one workplace reads as rude in another, and the safest correction is usually a little more warmth at the opening rather than more formality throughout.

Editing the converted version

Read the two side by side rather than reading the new one alone. Alone, a converted passage almost always reads well — smoothness is the one thing generated prose reliably delivers, and it hides the fact that a qualification disappeared.

Then check the opening and the closing sentences specifically. Tone conversion tends to add a courtesy line at the top and a summarising line at the bottom, and both are usually deletable without loss.

Finally, say the first sentence out loud. If you would not say it to the person, do not send it to them — that test catches more register errors than any of the others.

Without a key the conversion runs in your browser. With one, your text goes from your browser straight to the provider you chose, under their terms. Neither route passes through this site, and nothing you paste is stored here.
